CYCLING OTAGO INCORPORTATED - Member NEWSLETTER 3 FEBRUARY 2010

Just to bring members up to date with some things happening in the club.

A new constitution

Changes to the Cycling Otago Incorporated constitution were ratified and lodged with the Registrar of Companies as an Incorporated Society last year. The Club and the Centre now operate as one in Otago – every member needs to support and promote cycling whenever possible.

Club involvement

A lot of volunteer hours are gifted to members by committee and other members – examples include running of the Masters Games, The Rail Trail 100, NZ Cup on Wheels (this weekend), organising track racing, organising road races, senior and junior tours, handicapping, marshalling, fund raising, track and clubroom clean ups, van and gear organising, National and Elite entries and managing, club and CNZ registration of members, race calendars, training, etc, etc, etc.

A number of members stand out for their years of service – names like Ian and Bev Wilson, Barry Ellis, Peter van der Loo, Steve Hurring, Patricia Flett, Kevin Thomson, Mike Lormans – and more recently hours or organisation by our current President Chris Henderson, our marshal roster lady Lorraine Stewart, our media people Steve Havard & Glenda Bruce, and many others all contributing where they can.

Please help when you can to avoid burn out of our top contributors. The more people involved the better the club will be.

Timing system

Following a charitable donation of $15,000 from Pub Charity (submitted by Pat Flett), and with the help of approximately $8,000 raised by John Wekkings’ Rail Trail 100 (John also is our club web master); we have now purchased a Timing System.

The Timing System will mean every participant can be given individual times and results at both scratch and handicap races. We have trailed the system alongside the Masters Games Road Races. The physical system – road mats, antenna, cables and reader – are easily set out and most members with a little training should be able to do so. The actual software program has been described as a little chunky!

However results are good and with the help of experienced people such as Peter van der Loo and we will have a great operating system. Obviously there will be gremlins to work through so be patient as we introduce the system.
To achieve good results we need good inputs. That means the simple things must be right. E.g. all riders must ride with the transponder allocated to them; the race manager must record the race start time, the number of racers - with handicap details must be recorded; and any visitor transponders issued with the visitors name needs to be recorded.
Most of these things are done now so we just need to ensure the physical record is available for the timing person to input. A training session will be held this Thursday evening at 7pm at the Clubrooms for three or four people to become familiar with the software.

Later we will organise a training session for those who have offered to help with physically putting out the system and activating the reader device. Setting up the system should only take about 15 minutes before each race.

The software part – setting up the race program in the dedicated lap top and extracting the data - is a little more difficult and will fall to the software group only at this time.

Over the next two weeks we will be allocating transponders and holders to all members, and at the Committee meeting this Monday night a decision will be made on costs.

My thoughts are that a one off charge of $20 should apply with the member then keeping the transponder for as long as they are members. If a member leaves then a refund of maybe $10 could be given on return of the transponder and it can then be available for re-allocation.

Currently we have 350 transponders – less one not returned by a master game competitor which I am trying to track down.
